Data Protection Policy

The Data Protection Act 1998 came into force on 1 March 2000. It regulates the use of personal data and gives effect in UK Law to the European Directive on data protection.

The Act covers some manual records, such as those record on paper or media such as microfiche, as well as computerised records and is concerned with the processing of “personal data”, that is data relating to identifiable living individuals. It works in two ways;

  • It says anyone who records and uses personal information must be open about how the information is used and must follow the eight principles of ‘good information handling’
  • It also gives individuals certain rights, including the right to see information that is held about them and to have it corrected if it’s wrong.

Total People Limited will comply with its obligations under the Data Protection Act 1998. All data held by Total People will be processed in compliance with the Act and any Codes of Practice issued by the Information Commissions Office (ICO) and will be processed in a secure, confidential and appropriate manner from its initial collection to its final destruction by following the eight data protection principles which are:

  • Personal data shall be processed fairly and lawfully
  • Processed for limited purposes
  • Personal data shall be adequate, relevant and not excessive
  • Personal data shall be accurate
  • Personal data shall not be kept for longer than is necessary
  • Processed in line with the data subject's rights
  • Secure
  • Not transferred to countries outside the EU

Total People Limited has a responsibility to all its employees, learners, consultants, contractors, and agency staff, to ensure that they are fully aware of the implications of the Data Protection Act 1998 and to ensure that suitable security measures are applied at all times in the processing of individual's data.

Total People holds data on individuals for the purpose of:

  • Staff Administration - appointments or removals, pay, discipline, superannuation, work management or other personnel matters in relation to the staff of the data controller and Partner Organisations.
  • Advertising, Marketing & Public Relations - advertising or marketing the business of data controller, activity, goods or services and promoting public relations in connection with that business or activity, or those goods or services.
  • Accounts and Records - keeping accounts related to any business or other activity carried out by the data controller, or deciding whether to accept any person as a customer or supplier, or keeping records of purchases, sales or other transactions for the purpose of ensuring that the requisite payments and deliveries are made or services provided by him or to him in respect of those transactions for the purpose of making financial or management forecasts to assist him in the conduct of any such business or activity.
  • Training & Education – the provision of education or training as a primary function or as business activity.
  • Consultancy and Advisory Services - giving advice or rendering professional services. The provision of services of an advisory consultancy or intermediary nature.
