Overview

To undertake an office support apprenticeship; responsible for consistently providing high levels of customer service and maintaining customer relationships by acting as the first point of contact for all customer enquiries.

About the apprenticeship

To undertake an Office support apprenticeship, with external and on the job training for the following:

  • Responsible for consistently providing high levels of customer service and maintaining customer relationships by acting as the first point of contact for all customer enquiries
  • To carry out order processing, following the company sales administration procedure
  • Handle complaints and queries in a professional manner and escalate to the Assistant Manager where appropriate
  • Responsible for the input and regular upkeep of excel spreadsheets
  • Responsible for the accurate input and scheduling of customer orders
  • Monitoring staff availability each month and reporting any concerns to the assistant manager for review
  • Use SAGE 50 Accounts and Manufacturing packages to input data and trace customer order details
  • Responsible for ensuring stock is allocated correctly when completing works orders for delivery. Ensuring accurate entry of stock adjustments to the stock control procedure
  • Understand and handle customer data in line with GDPR and data protection regulations
  • Receive deliveries in line with goods in procedure, raising any non-conformances with the assistant manager for review
  • Assist the Procurement specialist by monitoring delivery schedules and chasing up where applicable
  • Adhere to health and safety regulations, reporting any concerns to the General Manager
  • To attend production meetings as required and be responsible for minute taking and circulation of meeting action documents
  • Monitoring supplies of office equipment and refreshments and assisting with re ordering as required
  • Lease with the manufacturing department to ensure goods are ready for dispatch to customers on time and customer amendments are well communicated
  • Act as front of house, meeting and greeting customers and suppliers in reception
  • Arrange customer lunches and prepare meeting spaces as required
  • Assist the General Manager with social media platforms (YouTube, Facebook, Twitter)
  • Supporting the Assistant Manager with any ad-hoc tasks
  • General admin duties such as: diary management and filing
  • End of month tasks where applicable
  • Once trained to provide short and long term cover and operate autonomously in all above
